Welcome to your Chairperson Portal — your all-in-one dashboard for running a smooth, successful Holiday Shop! Each section below helps you stay organized and confident as you manage your event from start to finish.

Sales Summary
Get a complete overview of your Holiday Shop in one place. You’ll see your school’s details, sale dates, enrollment, inventory value, and shipping addresses. It also lists key milestones, your sales representative’s contact info, and quick links to helpful PDFs, reports, and your Parent Website. Think of this as your quick snapshot for everything happening with your sale.

Modify Sale
This section lets you review and update your main sale details — including dates, profit level, and delivery preferences. You can also note school closure dates to help us plan shipments and make sure your delivery arrives on time. It’s the perfect place to double-check that everything looks right before your sale begins.

Sales Contacts
Here’s where you manage who has access to your school’s Holiday Shop in the portal. Add, edit, or remove anyone who helps with setup, inventory, or coordination. Everyone listed here has full chairperson-level access. If you have volunteers who only need to help with checkout, share your Holiday Shop PIN — it lets them use the Cash Register App without giving them access to your reports or private data.

Delivery Locations
Manage all your delivery addresses for the Chairperson Kit, Starting Inventory, and Reorders. You can add or edit addresses if your school receives shipments at more than one location. Once an address is used or set as the default, it can’t be deleted.

Parent Website
Your Parent Website is your school’s personalized holiday shop page — and one of the best ways to get families excited!
Here you can:
* Share Your Link: Copy and share your school’s unique URL through social media, email, or take-home flyers.
* Customize Your Page: Add your event dates, location, special features, or volunteer opportunities.
* Help & Questions: Update your school contact info so parents know who to reach out to.
* Grades & Classrooms: Add grades or teacher names so gift certificates organized in both the portal and app.

Sales Schedule
Create and share your shopping schedule so parents know when their child’s class will shop. You can enter dates, start and end times, and class information — this schedule will automatically appear on your Parent Website. If no times are entered, it’s assumed that shopping happens during regular school hours.

Prior Sales History
View past Holiday Shop results for your school, including sale dates, profit type, and total sales. This is a great tool for comparing performance year over year. If this is your first year running the shop, this section will simply be blank until your sale ends.

Switch Sales
Easily switch between current and past Holiday Shop sales. If your school has multiple years of history, they’ll all appear here. New chairpersons will only see their current sale.

Inventory Summary
Easily keep track of everything you’ve received — including total inventory value, items shipped, and any reorders placed during your sale. Each product is listed with its description, quantity, cost, and retail value. This section gives you a clear overview of your inventory at every stage, helping you stay organized and prepared throughout your holiday shop.

Orders & Deliveries
This section lists every shipment for your sale — from your Chairperson Kit to reorders and IOUs. You’ll find tracking numbers, shipping addresses, and delivery updates. If tracking info doesn’t appear right away, click “Refresh Status” to update or “Details” to view the tracking number directly.

Reorder Merchandise
Reorders can only be placed once your sale has begun, so this option will not be available until after your shop officially starts. All reorders must be submitted through the app or chairperson portal by 2:00 PM EST. Please note that reorders placed after 2:00 PM EST are not guaranteed to ship the same day, and only one reorder per day is accepted.

Missing & Damaged Items
This section allows you to report any missing or damaged items from your Holiday Shop inventory. As you unpack your boxes, restock during the sale, or replace a damaged item that a child may return, record any discrepancies here. Be sure to set aside any damages and discard them—they should not be returned with your leftover inventory.

Daily Cash Sales
Enter your daily cash and check totals here. Do not to include: starting cash, gift certificates, or credit card sales — the system tracks those automatically.

Gift Certificate Sales
View a real-time log of all gift certificates purchased. This makes it easy to verify if a child loses or forgets theirs. All certificates are automatically credited to your school’s invoice, and they’re now viewable directly in your app at checkout for quick and easy redemption.

Donations
Families can make online donations through your Parent Website to help ensure every child gets to shop. These donations appear here and are included in the gift certificate total as a credit on your final invoice. During your sale, you can use the donation funds in the app to cover a child’s purchase or help students who are a little short at checkout.

Credit Card Sales
Perfect for evening or weekend events! If your school accepts credit cards, this is where those transactions appear. Credit card sales are tracked automatically and credited to your invoice. Just make sure your checkout device has a Wi-Fi signal to process payments.

App Cash Sales
This section shows a real-time summary of all cash sales entered through the mobile app, giving you and your volunteers a quick snapshot of daily progress. Because every volunteer may use the app a bit differently, these numbers are best viewed as a helpful guide—not an exact total. Your Daily Cash Sales entries are the most accurate record and are what your final invoice will be based on.

Gift Certificates Redeemed
This section shows all gift certificates redeemed through the Cash Register App at checkout. It helps you track which certificates have been used and which remain unredeemed. If you’re not using the app for every transaction, redemption data will not be up to date — and that’s perfectly fine. At the end of your sale, any unused certificates can be treated as donations or refunded to families (for example, if a child was absent). Your organization is credited for all certificates — redeemed or not.

Sales Summary
This section provides a snapshot of your total sales, including daily cash sales, gift certificates, and credit card transactions. For the most accurate and up-to-date reporting, enter your daily cash sales each day — doing so keeps your totals current and helps you monitor your progress in real time.

Submit IOU Requests
Our IOU program ensures every child receives the gift they selected — even if an item runs out of stock. This section lets you easily track and submit IOU requests to stay organized throughout your sale. On your last day, finalize and submit your IOU Request so all owed items can be shipped before your school break. Some schools skip IOUs and let students pick from other gifts instead — either way works!

Return Merchandise
When your sale ends, pack up leftover gifts and supplies into as few boxes as possible (no damaged items, please), attach your prepaid UPS labels, and leave boxes at your regular pickup spot. If you’ve misplaced your labels or need extras, you can easily create or reprint them right in the portal.

Close Sale & Invoicing
This section guides you through wrapping things up — confirming totals, returning inventory, and generating your invoice. Once finalized, you can pay by ACH, Check, or Credit Card (3% fee applies). If you’re due a refund, it’ll be issued after your returns are received.

Re-Sign Offer
Here you can re-sign your school for next year’s Holiday Shop! Early re-signing secures your spot and may earn bonus perks. Don’t worry if you don’t yet know who next year’s chairperson will be — just list a contact, and we’ll follow up later.

Marketing Materials
Spread the word with ready-made social media graphics and logos in the Marketing Toolbox. They make promoting your shop quick and easy — just remember to include your Parent Website link!
