Reorders & IOU’s

Reorders:
If you find your store running low on items, there’s no need to worry. You’re managing a retail store with over 115 gifts, and it’s natural for some items to sell out. Even if a few gifts are out of stock, you’ll still have a wide selection for the children to choose from. The good news is that you can place reorders every day during your sale!

Some schools prefer a simpler approach because of time and helpers and run the shop like a regular store, selling what’s in stock until it’s gone, knowing there are plenty of other items available for the children.

To continue providing reorders via UPS Next Day Air, free of charge to your school, we ask that you place well-thought-out reorders. For instance, if 50% of your classes have already shopped, and you started with 12 pieces but have 4 pieces left, you’ve sold 8 and need 4 more pieces. The goal isn’t to have your tables overflowing at the end of the sale, only to return excess inventory.

Excessive reorders of all items and maximum quantities may be reviewed, and we reserve the right to modify reorders when necessary. Your cooperation in well-planned reordering is greatly appreciated.

  • All reorders must be placed in the Chairperson Portal, which is mobile-friendly.
  • Reorders must be submitted by 2:00 pm EST. If not, we cannot guarantee same-day shipping.
  • Only one reorder is allowed per day, and once submitted, it cannot be modified.
  • The maximum reorder quantity per item can not exceed the initial shipment, as indicated in the dropdown menu when placing your reorder.
  • When placing a reorder, you can include notes about any item or additional supplies.
  • All reorders will be shipped via UPS Next Day Air.
  • Remember, you’re running a small business. Feel free to sell remaining merchandise while awaiting reorders. It’s okay if you run out of a few items.

We discourage schools from calling in reorders due to the high volume and potential wait times. If you do call, please have item numbers and quantities ready before placing the call.

In case it’s the last day of your sale or a child selects the last item from a table in front of another child before you can remove the tent card, our IOU (I Owe You) program offers a fantastic solution to keep everyone happy. However, we understand that not all schools have the time or resources to manage IOUs, and that’s perfectly fine because we offer a wide variety of other gifts. Even if you run out of a few items, there are still over 100 items to choose from. Most children are happy with making a selection from your existing inventory.

Here’s the simplest way to offer and process IOUs:

  • Keep your last item as an example item and don’t sell it.
  • Use the provided IOU slips as receipts and collect money from the child at that time.
  • Create a list of the items and children with IOUs in the Chairperson Portal or on paper and wait to place the order on the last day of the sale.
  • Make sure to input all IOUs into the Chairperson Portal, selecting “IOU” and not “Reorder” when submitting them.
  • Rest assured, all IOUs are guaranteed to arrive before your school closes for the holidays; please specify your last day of school when submitting the IOU.
  • Always include IOU sales in your daily totals.
